 BASIC FUNCTIONS                      



  • The Tender/Projects Coordinator is responsible for checking and verifying proposal in terms of language/grammatical accuracy and standardization of presentation style prior to submitting to client.
  • He/she is also responsible to facilitate quick response to requests for tenders and proposals and Business Development in Malaysia, under the guidance and advice of the Business Line Director and Marketing Manager/Business Development Manager.
  • He/she is responsible to track (keep log) all tendering activities and status in Malaysia.


  • The Tender/Projects Coordinator is responsible for providing administrative support to Project Managers  




  • Compile proposals and ensure submission of winning tenders in a timely manner to the highest professional standards and consistent with Company objectives.
  • Forward all inquiries (ITB/RFQ/ Market survey/ Screening and tender clarification) to the relevant PIC and business line.
  • Respond to market survey, tender clarification and tender screening in timely manner
  • Lay out project specifications and requirements to ease preparation of materials for quotations and tenders
  • Assist the Project Manager during the execution stage.
  • Advise on requirement of marketing material.
  • Assists in local tender briefing/submission and kickoff meetings as required with Business Line Managers
  • Maintain a library of tender files (electronically)
  • Get knowledge on new techniques/technologies through continuous professional development.
  • Provide ongoing administrative support to Project Managers
  • Maintain and update the list of track records of projects in Malaysia.
  • Maintain good data storage and organize of the current project (Raw/Final) in specific folder, and well documented. 



  • Any other duties as requested by the Management.
  • Actively participate in adherence to and promote the implementation and continual improvement of the company Management System on Quality, Health, Safety and Environmental related issues and focussing on reviewing and improvement to System Procedures and Work Practices
  • Comply with statutory and regulatory requirements
  • Abide by both client and company rules as described in the QA and HSE Management System  


Education / Experience Requirements: 


  • Minimum a Bachelor Degree (in any discipline).
  • Good English communication skills; oral and written.
  • Minimum 5 years working experience, preferably in the upstream Oil and Gas Environment
  • Team player with a pro-active, positive and flexible approach to work
  • High degree of multi-tasking and time management capability
