We are currently seeking an experienced Operations Administrator to join our Perth based team.


Reporting to the Engineering Manager your responsibilities will include:

  • Assist Operations Manager and Project Managers to coordinate assigning of operational staff to projects;
  • Assist Operations Manager to coordinate sourcing intercompany or third-party personnel for local projects, and to coordinate temporary secondments of local staff to intercompany projects;
  • Assist Operations Manager and Project Managers with arranging vaccinations, visas and other travel documentation for projects;
  • Assist Project Managers with project performance tracking in accordance with company and client requirements;
  • Assist Project Managers with preparation of project deliverables including procedures and reports - document formatting in accordance with house style; collation of hard copy documents, compliance with internal and external document control processes;
  • Liaise with field staff and training bodies to arrange mandatory, project-specific and/or vocational training for field staff as required;
  • Coordination with trainers to deliver internal and external training to operational staff;
  • Maintain training records and certificates for operational staff, including operation of certificate tracking software;
  • Coordinate with operational staff to update and maintain individual resumes;
  • Provide general administration support to the Operations Manager, Project Managers and Service Line Managers as required, including correspondence, data entry, filing, recording minutes of meetings arranging project gifts etc;
  • Backup to Reception answering calls, greeting visitors, dealing with mail and couriers;
  • Assist Office Manager when required, including catering for office functions;
  • Ensure all work activities undertaken are carried out in accordance with QHSSE and all other company policies and standards;
  • Report all hazard observations, incidents and near misses as required by company procedures.


Your success in securing this role will require:

  • Relevant work experience of at least 4 years
  • Relevant Industry experience desirable
  • Strong Microsoft Office365 and Adobe Acrobat abilities
  • Experience with MS Project would be an advantage
  • Self-starter, proven ability to work unsupervised
  • Able to work within and support a team
